Document Auto-Linking now live!

Introducing auto-linking for Invoices and Credit Notes

CTB AND CO. is pleased to announce the release of a new auto-linking feature for documents received to your Email for Receiving Invoices.

Where available, documents that have been received to your custom email address which contain your original Reference Number (e.g. Purchase Order number or Credit Note Request number) will be auto-linked on the Receiving Order page - saving you the need to manually match these records!

Behind the scenes, our development team has been hard at work re-mapping these references for existing documents in preparation for this release. Many of the documents from your Suppliers have already been updated to extract your Reference Number to enable this auto-linking feature to occur.

So, how does it work? It's simple really:

  1. Send your Purchase Order or Credit Note Request to a Supplier which contains a unique reference (hint: this happens automatically).
  2. If your Supplier sends a document containing this unique reference, our team will attempt to extract it for matching.
  3. When the document is forwarded to your account, it will be auto-linked to the existing record on your Receiving Order page - simply open it up and proceed straight to checking off your order!

Documents which have been auto-linked will show a new status which highlights when this matching has occurred:

This automation will occur for both Purchase Orders and Credit Note Requests which reside on your Receiving Order page in a Saved or Link to Invoice/Credit Note status.

For documents which cannot be auto-linked, the existing linking process will need to be followed. However, if you encounter a document which includes your original reference which hasn't been picked up, feel free to Contact Us and we'll update our mapping template!

In addition to this update, we've also enabled viewing Purchase Order details as you process or review invoices. When processing new invoices from your Receiving Order page, keep an eye out for the View Purchase Order button to check the contents of your order in comparison to the matched invoice:

You'll also find a View Variation Report button directly on the Invoice page for approved invoices, which outlines any actions taken against specific line items.
